The Information Regulator publishes a "Guide on how to use PAIA" (Section 10). The Guide explains how to lodge requests, the fee structure and remedies available. The Guide is available from the Information Regulator's website and can be requested from the Information Officer listed above.

Records automatically available

The following information is routinely available without the need for a formal PAIA request (subject to applicable law and third-party confidentiality):

  • Information published on the company website (company description, services, contact details)
  • Standard product or service brochures and marketing materials
  • Certain company policies and terms where publication is required or usual

How to request access to records

To make a request under PAIA, please follow these steps:

  1. Submit your request in writing to the Information Officer at Wim.Delva@wimmy.com or by post to the company postal address.
  2. Clearly describe the records you seek — be as specific as possible (dates, project names, record types).
  3. Specify the form in which you require access (e.g. electronic copy, inspection of originals).
  4. Provide contact details and a physical or postal address for delivery of the response.
  5. If you are requesting personal information, provide proof of identity and, where applicable, proof of authority if you act on behalf of another person or a company.
  6. Pay any prescribed fee where applicable. The Information Regulator's Guide describes the fee structure; reasonable administrative fees may apply.

Timeframes: Wimmy will acknowledge receipt of a PAIA request and will process it in line with PAIA timelines. Where extension is allowed by law, the company will notify the requester with reasons.

POPIA — Processing of personal information

Wimmy processes personal information in accordance with the Protection of Personal Information Act (POPIA). The purposes of processing include service provision, human resources administration, supplier and client management, compliance and communication.

Categories of data subjects: employees, clients, suppliers, job applicants and contractors.

Types of personal information processed: names, contact details, identification numbers, qualifications, bank details (where necessary), contractual and transactional records, and project-specific data. Medical and clinical datasets are handled with additional safeguards where applicable.

Transborder data flows

Wimmy stores company, client and employee data on cloud storage platforms hosted in South Africa. The company does not routinely transfer data outside South Africa. Where exceptional transfers are required and permitted by law, appropriate safeguards will be used.

Information security and retention

Wimmy implements technical and organisational measures to protect information against unauthorised access, loss or destruction. Measures include access controls, encryption where appropriate, regular backups and staff training. Records are retained in line with statutory and business requirements and securely destroyed when no longer needed.

Remedies, appeals and complaints

If access to information is refused or if you believe your PAIA request has not been properly handled, you may:

  • Request internal review (an appeal) by contacting the Information Officer or the head of the company.
  • Lodge a complaint with the Information Regulator (details: inforegulator.org.za).
  • Apply to a court for relief where appropriate.

Availability and updates to this manual

This manual is available for inspection at Wimmy's registered offices during normal business hours and will be published on the company website at https://www.wimmy.com/.

Wimmy will update this manual when material changes occur (for example: changes to the Information Officer, change of address or categories of records). The date of the last update will be shown at the top of the manual.
